Our Terms and Conditions outline the rules and guidelines that govern the use of our services, including the booking and delivery of flights, visa assistance, transfers, hotel accommodations, food services, and attraction/event tickets. By confirming a booking with Viacation, you acknowledge that you have read, understood, and agreed to the following terms.
1. General Overview
- “Viacation” refers to the travel service company based in India providing customized domestic and international travel packages.
- These terms apply to all bookings made through Viacation, whether directly through our website, via call, through social media, or via authorized sales partners.
2. Flights
- Viacation acts only as a facilitator between you and the airline. We book tickets on your behalf but are not responsible for airline delays, cancellations, or rescheduling.
- Airlines reserve the right to make changes in schedule or route; such changes are beyond Viacation's control.
- Any amendments, cancellations, or refunds are subject to the airline's policies.
- Name corrections, changes, or re-issuance of tickets may attract charges as per airline rules.
- Clients must ensure they reach the airport well before the check-in time. Viacation will not be responsible for missed flights.
3. Visa Assistance
- Viacation provides visa guidance services but does not guarantee visa approval under any circumstances.
- Clients must provide accurate and complete documents. Any discrepancies or errors may result in rejection.
- All embassy/consulate decisions are final, and Viacation cannot be held liable for delays, rejections, or loss of fees.
- The processing time mentioned is indicative and may vary depending on the country, political situation, or consulate workload.
- Visa fees, VFS charges, courier costs, and documentation fees are non-refundable.
4. Transfers (Airport, Hotel & Sightseeing)
- Transfers included in the package are on a shared or private basis depending on the itinerary.
- Timings mentioned for transfers must be strictly followed. Delays by clients may result in missed services, and no refund will be applicable.
- In case of vehicle breakdowns or delays due to weather/traffic/political unrest, Viacation will provide alternative solutions but will not be liable for delays or losses.
- Any additional transfers required beyond the itinerary will attract additional charges.
5. Hotels
- Hotel options will be provided as per the selected package and availability.
- Standard check-in/check-out times of hotels apply. Early check-in or late check-out is subject to availability and may incur charges.
- If the mentioned hotel is unavailable, a hotel of a similar category will be provided.
- Hotel room preferences (bed type, smoking/non-smoking, view, etc.) are subject to availability and cannot be guaranteed.
- Damage to hotel property caused by the guest will be chargeable to the guest directly.
6. Food
- Meal plans will be clearly mentioned in the package: CP (Breakfast), MAP (Breakfast & Dinner), AP (All meals), or as per itinerary.
- Food preferences (Jain, Veg, etc.) will be shared with the Hotels, but it's subject to availability is not guaranteed.
- Meals are often fixed-menu or buffet, depending on the hotel or activity partner. No refunds will be provided for skipped meals.
- Viacation is not responsible for any allergic reactions or health issues arising from food provided by third parties.
7. Tickets (Sightseeing, Attractions, Cruises, etc.)
- Tickets to monuments, amusement parks, shows, or events are subject to availability at the time of booking.
- Any closures due to weather, government regulations, or maintenance are beyond our control.
- Inclusions and timings will be as per the final itinerary shared before departure.
- Unused tickets or missed entry slots will not be refunded.
- Some activities (e.g., Dhow Cruise, safaris, adventure parks) may require a waiver or physical fitness. Viacation is not liable for injuries, denials, or cancellations.
8. Payments
- Booking confirmation is subject to receipt of an advance payment as per invoice.
- The full balance amount must be paid within the deadlines specified. Delays may result in auto-cancellation.
- Payment can be made via UPI, bank transfer, credit card, or EMI (where available).
- EMI plans are subject to third-party financing approval.
- All payments must be made in Indian Rupees (INR) unless stated otherwise.
9. Cancellation & Refund
Advance Deposit & Payment Schedule
To confirm a booking Viacation require a non-refundable advance/deposit -25% of the package cost to confirm the booking. The remaining balance is payable before 15 Day of Departure for Domestic Holidays and 30 Days departure for International Holidays.
Cancellation Charges
Cancellation fees are often based on how far in advance you cancel:

Refund Processing Time & Fees
Refund timelines would be 15 to 30 working days after cancellation confirmation.
Company-Led Changes or Cancellations
If the company cancels the trip, they typically offer a full refund and sometimes alternative arrangements or credit. Note that these arrangements are subject to availability and may vary depending on the circumstances of the cancellation.
If customer Cancel your Holiday
You or any member of your party may cancel their travel arrangements at any time. Written notification or an e-mail to that effect from the person who made the booking must be received at our office. The cancellation charges applicable are as per the published cancellation policy below:
If we change or cancel your holiday
If we are unable to provide the booked travel arrangements due to reasons beyond our control (e.g. bad weather):We shall first try to offer alternative dates for the tour if the tour hasn't already commenced.
If the tour has already commenced, then we shall refund the booking price/fee charged to you on a pro-rata basis depending on the portion of the tour utilized by you.
In all circumstances, however, our liability shall be limited to refunding to you the price we charged as tour fees.
If you want to change your holiday plan
After confirmation of services, if you wish to change your travel arrangements in any way (e.g. your chosen departure date or accommodation), we will do our utmost to make these changes but it may not always be possible. Any request for changes must be in writing from the person who made the booking. All cost incurred due to amendment will be borne by you.
All booking vouchers and tickets will be provided 3 days before departure.
10. Modifications & Rescheduling
- Date or name changes are subject to availability and may involve extra costs.
- Modifications are only allowed if permitted by suppliers (airlines, hotels, visa centers, etc.).
11. Travel Insurance
- Viacation recommends purchasing travel insurance for medical, cancellation, or baggage loss coverage.
- If purchased through Viacation, the policy terms are as per the insurance company. All claims must be made directly to the insurer.
12. Liabilities & Responsibilities
- Viacation acts only as a facilitator and is not liable for any third-party issues.
- We are not responsible for natural calamities, political unrest, flight delays, accidents, injuries, losses, or thefts.
- Viacation reserves the right to make changes in the itinerary or substitute services of similar value.
- Clients must comply with local laws and respect cultural sensitivities during the trip.
13. Force Majeure
- Viacation shall not be held responsible for failure or delay in performing obligations due to events beyond our control (natural disasters, strikes, pandemics, etc.).
14. Customer Responsibilities
- Ensure all travel documents (passport, visa, ID) are valid and correct.
- Follow the itinerary, respect timelines, and be cooperative.
- Disruptive or unlawful behavior may lead to termination of services without a refund.
15. Dispute Resolution
- All disputes are subject to the jurisdiction of the courts in New Delhi, India.
- Any complaint must be raised in writing within 7 days of trip completion.
